Who you are dealing with
RoofMap is run by a roofer, not a software house.
RoofMap is operated by RoofMap Limited (NZBN 9429053911575, GST 149-522-115), a New Zealand company at 900 Horeke Road, RD 1, Okaihau 0475. In these terms "we", "us" and "our" mean that company, and "you" means the business that holds the RoofMap subscription.
RoofMap was built inside a working roofing business for its own jobs, and it is sold to other roofers on that basis. We are a roofing company that learned software, which is the reason the cut lists and the flashing schedules behave the way a roofer expects — and also the reason we are plain about the limits of what we promise below.
These terms apply from the moment you create an account. If you are agreeing on behalf of a company, you are confirming you are allowed to.
Your account and your team
One subscription covers your business, not one person. Keep your logins to yourselves.
A RoofMap subscription belongs to a business, not to an individual. Your estimator, your office manager and your foreman all work off the same jobs, the same price book and the same job-number counter. The number of logins you may create is set by your plan.
- Give us accurate details, and keep them current — quotes carry your business name, GST number and contact details to your customers.
- Each person gets their own login. Sharing one login between staff defeats the record of who made a job and who ordered the material, and it is the thing that makes an account impossible to secure.
- You are responsible for what your people do in your account, including anyone you invite.
- Tell us promptly if you think a login has been compromised.
The account owner can invite and remove team members, and can change what the business is called. Removing someone takes their access away; the jobs they made stay with the business.
Plans, prices and paying
Priced per business, monthly, in New Zealand dollars, plus GST. No contract, no minimum term — cancel any time and you stop paying.
Current plans and prices are on the pricing section of our website. All prices are in New Zealand dollars and exclude GST, which is added at the rate in force at the time of the invoice.
- No lock-in. There is no minimum term and no contract to sign out of. Subscriptions are billed monthly in advance from the date you subscribe, and you keep going only as long as you want to.
- Cancelling. You can cancel at any time, from the billing portal in your account or by emailing us. It takes effect at the end of the period you have already paid for, so you are never billed again after you cancel. We do not pro-rate a part month.
- Refunds. We do not refund part-used periods as a matter of course. If something has genuinely gone wrong at our end, talk to us — we would rather sort it out than argue about it.
- Failed payment. If a payment fails we will tell you and try again. If it is still unpaid after 14 days we may suspend the account. Nothing is deleted at that point (see clause 12).
- Changing plan. Moving up takes effect immediately. Moving down takes effect at the next billing date, and you need to be within the new plan's limits first — for instance, under its number of logins.
Introductory discounts
We sometimes offer a discount for a stated period — at the time of writing, 30% off the first 12 months for businesses who join during early access. A discount like that runs for the number of months stated, counted from the date you subscribe, and then stops. Your price returns to the standard rate for your plan.
That is not a price change and the notice period below does not apply to it: the end date is part of the offer, told to you before you subscribe, and it appears on every invoice in the meantime. If you change plan while a discount is running, the discount follows you to the new plan for whatever is left of its term.
If we change the price
We will give you at least 30 days' notice by email before a price change affects you. If you don't want to pay the new price, cancel before it takes effect and you will not be charged it. We will not change the price of a period you have already paid for.
Measurements are estimates
This is the most important clause on the page. RoofMap helps you measure. It does not measure for you.
Everything RoofMap produces is an estimate, and you are responsible for checking it before you rely on it. That includes roof areas, line lengths, pitches, sheet and flashing cut lists, material quantities, labour hours and prices.
A measurement taken from an aerial photograph depends on the age and accuracy of that photograph, on the pitch you enter, and on the scale you set. A cut list is only as good as the measurements behind it. Do not order material or price a job off RoofMap without checking it against the actual building.
RoofMap is a tool a tradesperson uses to do their own work faster. It is not a survey, not a building report, not engineering advice, and not a substitute for your own judgement or for a site visit. Nothing it produces has been certified by anyone.
The quotes, proposals and job packs you produce are your documents. You decide what goes in them, you set the prices, and the contract for the roofing work is between you and your customer. We are not a party to it. The standard terms and conditions that appear on a proposal are a starting template — read them, change them to suit your business, and get your own advice on them.
The same goes for anything the app works out automatically, including the parts that use AI to read an aerial photo or a supplier price list. Those are suggestions to be checked, not answers.
Prices and material quantities
The price book is yours to set, and what RoofMap does with it is arithmetic: it multiplies your rates by measurements you are responsible for. It does not know what your supplier will charge you today. Supplier prices move, and a rate that was right last month may not be right on this job. Check the figures against a current supplier quote before you commit to a customer, and check quantities against the building before you order.
A new account starts on indicative retail figures rather than anybody's negotiated rates, so that the app is usable on day one and so no real buy rate is ever a default. They are a placeholder to replace with your own, not a price to quote off.
You will see this same warning where it matters rather than only here: it is printed on the material order form, on the cut list, and on the cover of the job pack the crew works off.
Your work stays yours
Your jobs, drawings, photos, prices and customer list belong to you. We hold them for you.
You keep ownership of everything you put into RoofMap and everything you make with it — your drawings, your job packs, your price book, your quote templates, your branding and your photos. We claim no rights over any of it.
You give us only the permission we need to run the service for you: to store your data, to display it back to you and your team, to send it where you tell us to send it (a customer's quote link, a supplier's order email, your job-management system), and to keep backups.
Your supplier pricing is yours alone. Your price book is never shown to another subscriber, never used to build a benchmark, and never shared with a supplier. It is the most commercially sensitive thing in the app and we treat it that way. RoofMap ships with indicative retail figures precisely so that nobody's real buy rates ever have to be a default.
We own RoofMap itself — the software, the name and the look of it. You get the right to use it while you are subscribed, and nothing more. You may not copy it, take it apart, resell access to it, or use it to build a competing product.
If we ever want to name you as a customer or show your work, we will ask you first.
Your customers' information
Under the Privacy Act, your customers are your responsibility. We hold their details on your behalf.
When you put a customer's name, address, phone number or email into a job, you are collecting their personal information — not us. Under the Privacy Act 2020 you are the agency responsible for it. We hold and process it on your behalf, on your instructions, and for no purpose of our own.
That means it is on you to:
- collect it fairly, and only what you need for the job;
- be straight with your customers about what you do with it;
- answer them if they ask to see it or want it corrected — you can get it out of RoofMap yourself, and we will help if you need us to;
- make sure you are entitled to send a customer a quote link or an email through RoofMap.
Our side of it — what we hold, who else touches it, how long we keep it and how it is protected — is set out in the Privacy Policy, which forms part of these terms.
What you may not do with it
The obvious things. Don't break it, don't abuse it, don't resell it.
- Break the law with it, or use it to help someone else break the law.
- Put someone else's personal information in it that you have no right to hold.
- Try to get at another business's data, or at parts of the system you are not entitled to.
- Probe, scan or load-test the service without asking us first. Ask — we would rather hear from you than find out.
- Resell, sublicense or white-label access, or use one subscription to run quotes for other roofing businesses.
- Copy the software, reverse-engineer it, or scrape it in bulk.
- Upload anything malicious, or anything deliberately huge enough to degrade the service for others.
If you find a security problem, please tell us at support@roofmap.co.nz before you tell anyone else. We will not take action against anyone who reports something in good faith and gives us a fair chance to fix it.
Fair use
Plans are priced per business and per login, not per job. We do not meter drawings, quotes, photos or emails, and we would rather not — counting them would change the way you work. What that assumes is ordinary use by a roofing business of your size.
If an account goes a long way outside that — storage or email volume that looks automated rather than worked, or one subscription plainly carrying more than one business — we will get in touch and talk about the right plan. We will not throttle, suspend or bill an account for volume without telling you first and giving you a fair chance to sort it out.
Availability and support
We aim to keep it up and we watch for problems, but we don't promise a percentage.
We work to keep RoofMap available and quick, and we monitor errors so that a problem you hit gets seen without you having to ring us. What we do not do, at this stage of the product, is promise an uptime figure or a guaranteed response time. If that changes we will say so here rather than leaving you to guess.
Some things are outside our hands: your internet connection, the aerial imagery provider, your job-management system, our hosting or database providers. We will do what we reasonably can, but we are not liable for outages caused by them.
We may take the service down for maintenance. Where it is planned and likely to interrupt you, we will give notice.
Getting help
Support is by email at support@roofmap.co.nz, during New Zealand business hours, from people who have been on a roof. Business plan subscribers get priority.
Offline use
RoofMap keeps a copy of your work on your device so it keeps working with no signal, and sends it up when the signal returns. That is genuinely useful on a roof and it is not a backup — a lost, wiped or broken device takes any work with it that never reached our servers.
Consumer Guarantees Act
If you're a business using this for business, the Act's guarantees are contracted out.
RoofMap is supplied and acquired in trade. Where you are acquiring it for the purposes of a business, you and we agree that the Consumer Guarantees Act 1993 does not apply, and that sections 9, 12A, 13 and 14(1) of the Fair Trading Act 1986 do not apply. You and we agree it is fair and reasonable to be bound by this.
If you are somehow acquiring RoofMap as a consumer rather than in trade, nothing in these terms limits your rights under that Act.
What we are responsible for
Our liability is capped at what you paid us over the past year. We can't carry the cost of a mis-measured roof.
To the extent the law allows, our total liability to you for everything connected with RoofMap is limited to the amount you paid us in the 12 months before the claim arose.
We are not liable for lost profit, lost business, lost or wasted material, the cost of re-doing work, or any indirect or consequential loss — including a job priced wrongly, a cut list that did not match the building, or material ordered on a measurement that had not been checked.
This is not us dodging responsibility for our own software. If RoofMap is broken, tell us and we will fix it. But a roofing job is worth many times a year's subscription, and the person who can actually prevent a bad measurement reaching a customer is the roofer standing next to the building. That is why clause 5 exists, and why this cap does.
Nothing here limits liability that cannot be limited by law.
Stopping — yours or ours
Cancel any time. We'll only cut you off for non-payment or a serious breach, and you get your data out either way.
You can cancel at any time, from your account or by emailing us. Cancellation takes effect at the end of the period you have paid for.
We may suspend or close an account if payment goes unpaid for more than 14 days after we have told you, if there is a serious or repeated breach of clause 8, or if we are required to by law. Except where the law requires immediate action, we will tell you first and give you a fair chance to put it right.
Your data stays yours on the way out. For 60 days after an account closes we keep your jobs and settings so you can get them out, and we will help you export them if you ask. After 60 days they are deleted, and deleted from backups on the cycle described in the Privacy Policy.
Customer quote links stop working when an account closes. If you have live quotes out with customers, get them settled before you cancel.
Changes to these terms
We'll email you 30 days before anything that matters changes.
We will update these terms from time to time as the product changes. For anything that materially affects you, we will give at least 30 days' notice by email to the address on your account, and change the version and date at the top of this page. Carrying on using RoofMap after that means you accept the change; if you don't, cancel before it takes effect.
Corrections that don't change your rights — a typo, a broken link, a clearer sentence — we make without notice.
Law and disputes
New Zealand law, New Zealand courts, and a phone call before anything else.
These terms are governed by New Zealand law, and the New Zealand courts have non-exclusive jurisdiction.
If something goes wrong, email us first and give us a genuine chance to sort it out. Most things are a misunderstanding that a phone call fixes. If that doesn't work, we both agree to try mediation before either of us starts proceedings.
The rest of it
- These terms and the Privacy Policy are the whole agreement between us about RoofMap.
- If a clause turns out to be unenforceable, the rest still stands.
- Not enforcing something once doesn't mean we have given it up.
- You may not transfer this agreement without our written agreement. We may transfer it if the business is sold, and we will tell you.
- Neither of us is liable for a failure caused by something genuinely outside our control.
